New Documents from a template
There are a range of template documents that you can access from within Documents at the top menu in any client. These include Letter of Representation, Accountant's report, FC dividend papers, DLA, etc. Many of these are directly linked to nominal ledger accounts, so the stock figures in the Letter of Representation is generated automatically.
To generate these for your client, select the Documents menu, and then from the Actions drop down menu select New Text. Then select the relevant template. This will take you into the document for you to complete as needed. You should rename the document appropriately here as you will need a relevant name when you want to access it again from the Export screen - to change the name, click on the small pencil on the right of the screen and this will allow you to change the title - remember to click on the tick symbol to save this change. You can also preview the final document and download the document from the Action menu. You do not need to save the document here as it is automatically stored as a new template in your documents list (you may want to move it to the relevant year folder), simply click on Documents again and you will see your new document in the list.
Please note that you will not be able to access this document (for instance through the paperclip function) until you have generated it into a pdf final form following the below. Until it is in pdf, it is a template that can be modified and for this type of documents we should only be attaching pdf versions internally.
- From Export, Select Document PDF creator from the drop down list
- Select the 'Text' block from the right and Drag it over the Grey box labelled 'PDF Export'
- Select the letter / document from the drop down list and click the 'Generate Export' button at the top
- The export history screen will open and after a short while your PDF will be available to view
- Once created, select the Folder icon to the right (below image) and move the document to the correct year to ensure all files are organised by year.
